Organisation of a hair salon and work organisation

Organisation of a hair salon

  1. Organise a meeting with all colleagues before reopening and present a plan for reorganising the work of the salon. Provide information on new work rules and the use of protective measures and salon disinfection procedure. It should include the type of disinfectants, the frequency of disinfection and how the disinfectants are used. Moreover, implement the daily cleaning register (Annex 3) and instructions on using personal protective equipment.
  2. Monitor the compliance with procedures by all colleagues and create a system of checking compliance with the rules with your employees.
  3. The new procedures will have to be carefully followed at the initial stage so that they become a permanent feature of the working day.
  4. If necessary, conduct routine internal meetings and consultations with open windows and keeping a distance of at least 2 metres between people.
  5. Make a list of products that will be purchased in order to reopen the salon, including all personal protective equipment and disinfectants.
  6. Before re-opening the salon, plan its reorganisation, taking into account safe distances, social distancing and separation of workstations, especially in all common areas.

Distancing

  1. Control the maintenance of a distance of at least 2 metres between clients (including workstations). This distance can be reduced only if the service requires it and when other personal protective equipment is used. Even if it is not easy, keep a proper distance in your gestures and body position during work.
  2. Ensure the use of additional workstations to maintain a safe distance - a minimum distance is 2 m between stations for client. If it is not possible to ensure a minimum distance of 2 m between client stations, we recommend installing protective screens (partitions, walls) between the stations. The partitions should be made of air impermeable material, e.g. plexiglass that effectively separates employees.
  3. Keep a safe distance in staff rooms, place there some disinfectant to enable cleaning each surface that is touched 2-3 times during the working day and at the end of each shift.
  4. If possible, limit unnecessary physical contact. Avoid shaking hands, hugs and kisses.
  5. During the state of epidemic, do not serve coffee or tea.

Resale area

  1. Keep all shelves clean and disinfected.
  2. Ask and inform clients not to touch the products – it can be done only by the hairdresser who sells them. A touched product stops being clean, so create a routine for cleaning or disinfection.
  3. Remove testers. It is worth having visual instructions for using the product and its beneficial effects for the client.

Reception desk

  1. Ask the client to make an appointment via internet / telephone. Disinfect the telephone and keyboard used by employees after each use if more people use them. The disinfection after each use is not required if the reception is served by one, dedicated person.
  2. Ask for contactless payment or payment by credit card. Disinfect the keyboard of the payment terminal with a disinfecting tissue. On what concerns cash, you can use a tray or bowl to put the money in. The need for frequent disinfection can be reduced by using a stretch film that can be replaced regularly.

Communication with the client

  1. Publish a message on the salon's website, in social media, in mobile applications, so as to inform clients about the adopted working procedures and protection measures.
  2. Retry / remind this communication through all possible channels.
  3. Place a board on the entrance / front window informing about the adopted protection measures and procedures so that the client can read them before entering the salon.

Organisation of the flow of people in the hair salon

  1. Distribute scheduled visits in such a way so as to reduce the number of people present in the salon at the same time. The number of clients in the salon is strictly limited to the number of workstations. Schedule client visits at intervals so that clients do not pass by one another.
  2. Adjust opening hours and organise employee rotation. The hair salon should work in shift mode. In the middle of the salon opening hours, plan one break that would be long enough for the team ending the shift to carry out ventilation and disinfection. If possible, people working on different shifts should not have contact with one another, so that employees assigned to two different shifts do not mix. It is permissible for the same team to work all day long.
  3. Reorganise your workstations. It is a good idea to leave an empty space between two people.
  4. Organise the rotation of employees going for breaks to the staff room intended only for them.
  5. However, if the client arrives too soon, ask them to wait outside the salon - waiting rooms are not available for use.
  6. Separate a specific space / place where the client will leave outerwear. If there are several clients in the salon at the same time, their clothing should not be in the same place and should not be touching one another. It can be separated by installing additional hangers at distances preventing contact or by using disposable plastic bags.
  7. Remove all unnecessary items from the common spaces, i.e. artificial flowers, lamps, candles, other decorations, hanging curtains and leaflets, folders and other advertising materials.
  8. If the client personally completes a form or sign a consent for the procedure, arrange pens and have them disinfected by placing two containers for clean and dirty pens. Used pens must be disinfected with a disinfectant.
  9. Standard ventilation, including constant air exchange during the visit and after the client's departure, is necessary. Hence the recommendation to limit the number of clients per hour.

Organisation of work

  1. In hair salons, you should try to make the service being performed behind the client's back.
  2. One employee can simultaneously perform two services in the salon, e.g. apply colour to one client and then, during the 30/40-minute pause (when the colour is developing), serve another client.
  3. The time of client service should be calculated and extended with the time needed for disinfection.
  4. To properly use time and space, set up rotational shifts (of work and rest), adjust working hours and the possibility of opening on previously free days, e.g. Mondays, if this was practiced.
  5. Limit conversations between staff and clients to the minimum required to perform the service. Also limit the time spent by clients in the premises to the minimum required for the provision of service.
  6. Determine a couple of longer breaks during which the premises will be disinfected, especially all the touched surfaces, including door handles, handles, light switches, do not forget about floor cleaning and replacement / disinfection of tools / equipment.
  7. After each client, disinfect reusable equipment for service and the one that the client touched, e.g. scissors, brushes, combs, lamps, dryers, curlers, armchairs, countertops, mirrors.
  8. When available, the use of disposable peignoirs (capes) is recommended. In the absence thereof, it will be necessary to wash / disinfect the peignoir after each client at a temperature of min. 60oC.
  9. If the client moves from a service station to the head wash station, use a disinfectant spray and a paper towel to quickly disinfect the workplace (chair and console). When transferring the client to another workstation from the head wash station, use a disinfectant spray and a paper towel to quickly disinfect the head wash station. Use disposable towels.
  10. After the service, place accessories and equipment in appropriate disinfectants or sterilising devices and / or clean them with disinfectants.
