Information on the Processing of Personal Data by the Embassy of the Republic of Poland in The Hague

This information is provided in fulfilment of the obligation set out in Article 13(1) and (2) of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC, hereinafter referred to as the "GDPR” (OJ EU L 119, 4 May 2016, p. 1, and OJ EU L 127, 23 May 2018, p. 2).

  1. The data controller, within the meaning of Article 4(7) of the GDPR, is the Minister of Foreign Affairs, with its registered office in Poland, in Warsaw, at Al. J. Ch. Szucha 23, while the person performing the duties of the data controller is Ambassador M. Kassangana, based at the Embassy of the Republic of Poland in The Hague, Alexanderstraat 25.
  2. A Data Protection Officer (DPO) has been appointed at the Ministry of Foreign Affairs and at Poland’s diplomatic missions abroad.

  1. The data are processed on the basis of Article 6(1)(a) of the GDPR, i.e. with the consent of the data subject, for the purpose of participating in events organised or co-organised by the Embassy of the Republic of Poland in The Hague.
  2. Providing personal data is voluntary, but necessary in order to participate in the event.
  3. Personal data will be processed until the purpose of processing referred to in point 3 ceases to exist or until consent to the processing of the data is withdrawn. In such a case, the relevant notification should be sent to the following e-mail address: haga.amb.sekretariat@msz.gov.pl
  4. Access to the data is limited exclusively to authorised employees of the Embassy of the Republic of Poland in The Hague.
  5. The data will not be transferred to a third country or an international organisation.
  6. The data subject has the rights concerning the control of the processing of their personal data as set out in Articles 15–19 of the GDPR, in particular the right to access their personal data and to have them rectified, the right to erasure of data and the right to restrict their processing, insofar as applicable.
  7. Personal data will not be processed by automated means in a manner that would result in decisions producing legal effects concerning the data subject or similarly significantly affecting them. The data will not be subject to profiling.
