The new system for electronic contracting is up and running!

On 7 January, a new ICT system for contracts was launched to help make and handle certain contracts electronically in a simple and intuitive way. The new system will make day-to-day work easier for both employees and employers.

What does this mean in practice?

With the new system you can:

  • conclude, amend and terminate contracts such as employment contracts, mandate contracts, service contracts and activation contracts, e.g. with a nanny,
  • use ready-made templates for contracts and related documents - e.g. annexes, termination notices, employment certificates,
  • sign documents with a qualified, trusted or personal signature,
  • maintain and store employee records electronically without the obligation to keep them in paper form.

The system also provides continuous access to electronic documents and the ability for ZUS and National Revenue Administration (KAS) to report employees and contractors for insurance and taxation - all in one place.

How does it work?

You can log in to the system via the Praca.gov.pl portal, via the login.gov.pl system (Trusted Profile, e-profile, mObywatel application, e-banking) or with a qualified electronic signature. You can act both as an individual and in the context of an organisation - such as a sole proprietorship.

The system can only be used to keep employee records for newly hired employees or for employees for whom no records were previously kept.  By choosing to enter into a contract in the system, you are obliged to keep a record of the contract in the system until it is completed. 

Who can benefit?

The system can be used by, among others:

  • micro and small employers employing up to 9 people,
  • farmers,
  • natural persons,
  • parents contracting with nannies,
  • employees, contractors and nannies as an employed party.

What is worth knowing at the start?

The system is only the first version of the tool - he Ministry of Family, Labour and Social Policy (MRPiPS) plans to develop new functions and expand the range of contracts that can be concluded.

The new system is a step towards simpler and more transparent contracting - so that everyone can get it done quickly and without unnecessary paperwork.

The system was launched under the 16 November 2022 Act and is available to users free of charge.
