C-Type Schengen Visa
Where to apply?
You can submit your application to the territorially competent consular office of the Republic of Poland. In accordance with the rules of territorial jurisdiction, the Embassy of the Republic of Poland in Hanoi is the consular office competent to process visa applications from Vietnamese citizens and citizens of other countries who are legally and permanently residing in Vietnam.
You need first to register your appointment on e-konsulat.
In addition, the Consulate General of Hungary in Ho Chi Minh City represents the Republic of Poland in the scope of issuing Schengen visas. Submitting an application to the Hungarian Consulate General in Ho Chi Minh City is possible for persons residing in the cities of Da Nang, Can Tho and Ho Chi Minh City and the provinces of Quang Nam, Quang Ngai, Binh Dinh, Phu Yen, Khanh Hoa, Ninh Thuan, Binh Thuan, Dong Nai, Binh Duong, Long An, Ba Ria, Vung Tau, Tien Giang, Ben Tre, Tra Vinh, Hau Giang, Bac Lieu and Cau Mau.
Do I have to apply in person?
Visa application form must be submitted in person. Diplomatic mission does not accept application forms sent via fax, regular mail or e-mail.
How to book an appointment?
You can book your appointment to apply for a visa via the e-konsulat system.
Submit your visa application no earlier than 6 months before the start of your planned visit and, as a rule, no later than 15 calendar days before the start of your planned visit. In justified individual cases of urgency, the consul may allow you to submit your application later than 15 calendar days before the start of your planned visit.
In accordance with Article 9 of the Community Visa Code, applications shall be submitted no earlier than six months, and in the case of seafarers in connection with the performance of their duties, no earlier than nine months, before the start of your planned visit and, as a rule, no later than 15 calendar days before the start of your planned visit.
What documents do I need to submit?
1. A visa application form filled via the e-konsulat system, printed and signed.
2. A 3.5 x 4.5 cm colour photo. The photo must be:
(a) sharp, taken against white background and printed on a quality paper,
(b) newer than 6 months,
(c) taken en face, clearly showing the eyes and face from both sides from the top of the head to the top of the shoulders with the face covering 70-80% of the photo. The photo must be taken without any headwear.
3. Passport issued within last ten years, valid for at least three months from the expected return date, with at least two blank pages for visas. If you have another valid passport, you should attach it to the visa application form.
4. A copy of the passport page with personal data and a photo.
5. Healthcare insurance valid across the Schengen member states for the amount not lower than EUR 30,000 covering the whole period of validity of the visa. We accept insurance from Vietnamese companies: Bao Minh and Bao Viet as well as certain international companies listed here.
6. A copy of the family book (Hộ khẩu Gia đình *) certified as a true copy by the Consular Department of the Ministry of Foreign Affairs of the SRV, the People's Committee competent for the place of permanent residence, or the notary public. A certified copy of the document should be made not earlier than three months before the date of its submission to the office. The family book must have a certified translation into Polish or English.
7. Confirmation of financial resources:
(a) original bank (business or private) account statements showing the turnover of the last three months;
(b) if the applicant is employed:
- last three salary slips
- employment contract or current employer's statement;
- permission to leave;
(c) if the applicant is the owner of an enterprise or a natural person conducting business activity:
- company registration certificate *;
- certificate of settlement of tax obligations;
(d) if the applicant is a pensioner:
- retirement pension certificate;
(e) other measures:
- money orders
- credit cards;
- regular property income;
(f) if the applicant receives help to cover the costs of stay from another person or accommodation with a private person:
- confirmation of payment of costs related to the applicant's stay by another person or lodging with a private person on the national form;
- original invitation / guarantee letter;
- copy of the sponsor / host's passport or identity card;
- copy of the residence permit if the sponsor / host is a foreigner;
- statements from the sponsor / host's bank account showing the turnover from the last three months, unless his fact of having financial means is confirmed otherwise.
8. A proof of accommodation (for example, an official invitation or a hotel booking or reservation).
9. Documents regarding means of transport, i.e. booking of a return ticket or a return ticket. When entering the Schengen area, the applicant must show a document confirming the return journey.
10. Documents confirming the purpose and conditions of the planned stay on the territory of the Republic of Poland in the case of:
(a) Business travel:
- an invitation from an enterprise or authority to participate in meetings, conferences or events related to trade, industry or work
- other documents confirming the existence of commercial or professional relations;
- entry tickets to fairs and congresses, if applicable;
- documents confirming the commercial activity of the enterprise (license for import / export of goods, document confirming previous activity, confirmation of the enterprise's registration * etc.);
- employment certificate with stamp signed by a member of the senior management staff describing the applicant's position in the company.
(b) Travel undertaken for scientific or training purposes:
- confirmation of registration in an educational institution for vocational or theoretical courses conducted as part of primary and specialization education;
- student IDs or certificates of planned courses.
(c) Travel undertaken for tourist or private purposes:
- for tourist purposes:
confirmation of the booking of an organized trip issued by a travel agency or other appropriate document containing information on travel plans;
documents confirming the strong ties with the visa applicant, e.g. an employment contract of indefinite duration with an employer in Vietnam, a property deed in Vietnam, etc .;
- if the applicant visits relatives:
a document confirming the existence of family ties * or consent to the stay and residence of a person who is not a relative, notarized;
if the applicant is married - marriage certificate *;
original invitation issued by the Voivodship Office with a copy;
documents confirming the strong ties with the visa applicant, e.g. an employment contract of indefinite duration with an employer in Vietnam, a property deed in Vietnam, etc .;
(d) Travel to participate in political, scientific, cultural, sporting or religious events or for other reasons:
- invitation, entry tickets, enrollment certificates or programs containing (if possible) the name of the host organization and information on the length of stay or other appropriate document indicating the purpose of the journey.
(e) Travel by members of official delegations who, following an official invitation, shall participate in meetings, consultations, negotiations or exchange programs, as well as in events organized in the territory of a Member State by intergovernmental organizations:
- copy of the official invitation;
- a verbal note issued by the authority confirming that the applicant is a member of the official delegation traveling to the Member State to participate in the events listed above.
(f) Travel undertaken for health purposes:
- a certificate issued by a medical doctor (appointed by the consulate) or a medical establishment confirming the need to provide specialist medical care in the country of destination;
- an official document issued by the receiving healthcare institution confirming the possibility of providing specialist medical care and readiness to properly admit the patient;
- confirmation of prepayment for medical care;
- all correspondence between the referring physician and the receiving hospital, if available.
Additionally, when applying for a visa for a minor you should present:
- Written notarized consent of the parent / parents to submit the visa application. If there is only one guardian, this should be documented by submitting a birth certificate, court order granting exclusive parental custody or death certificate of the other parent *;
- Parents' passports - original and copy *;
- Birth certificate - original and copy *.
If a child is entered in their parent's or a legal guardian’s passport, please submit a separate visa application. The visa will be pasted into the parent's or the legal guardian's passport.

Remember:
Official documents marked with an asterisk * must be current (issued up to three months in advance) and certified by the competent local authority; they must also be translated (and certified translation) into the official language of the embassy or consulate in which the application is being made, or into another language accepted by the embassy or consulate.
You must apply for a visa at the diplomatic mission whose consular district covers your place of permanent residence.

Please note:
- You must apply for a visa in a consular office or the embassy’s consular department in the consular district of your place of residence.
- Usually, the above documents are enough to receive a visa, however, the consul may require additional documents.
- Apply for a visa not earlier than three months before your planned journey.
- The consul may, but does not have to, invite the applicant for an interview.
- You may be banned from entering any of the Schengen States if you present forged documents or provide false information.
- Receiving the visa does not guarantee that you will enter the Schengen area - the final decision is always made by the authorities of the country where you intend to cross the Schengen area border.
How much does it cost?
The fee shall be charged in accordance with the Consular Fees Table – point 3.01.
It is accepted in cash, in local currency - Vietnamese dong (VND).
The fee for accepting and processing an application for a Schengen visa for children aged 6-12 is 1 110 000 VND.
The visa application fee is non-returnable, whatever the consul's decision.
The visa fee is waived for applicants belonging to one of the following categories:
1. children under 6 years of age;
2. pupils, students, doctoral students and accompanying teachers
who are travelling for the purposes of studies or training;
3. researchers from third countries travelling for the purposes of carrying out scientific research
as defined in Recommendation 2005/761/EC of the European Parliament
and of the Council of 28 September 2005 to facilitate the issue by Member States
of uniform short-stay visas for researchers from third countries
travelling within the Community for the purposes of scientific research(21);
4. representatives of non-commercial organisations up to the age of 25 participating
in seminars, conferences, sports, cultural and educational events
organised by non-commercial organisations;
5. family members of EU/EEA and Swiss citizens.
Exemptions from fees provided for in the Act "Consular Law" of 25 June 2015.
Art. 113.
1. No consular fee shall be charged for accepting and considering an application for a visa from a family member of a European Union citizen within the meaning of Art. 2 point 4 in connection with point 3 of the Act of 14 July 2006 on the entry into, residence in and departure from the territory of the Republic of Poland of citizens of the Member States of the European Union and their family members (Journal of Laws of 2024, item 633)
2. No consular fee is charged for accepting and considering an application for a visa and
no fee is charged for reconsidering an application for a visa submitted by the spouse of a Polish citizen,
his minor direct descendant or minor direct descendant of his spouse, his direct ascendant or direct ascendant of his spouse, if the ascendant or descendant is supported by the Polish citizen or
his spouse.
Art. 114. No consular fee is charged for accepting and considering an application for a diplomatic or service visa.
What is the waiting time?
A decision on an application shall be made within 15 calendar days of the date of submission of an application that meets the admissibility criteria. In individual cases, this period
may be extended to a maximum of 45 calendar days, in particular when further review of the application is necessary. In justified individual cases of an urgent nature, decisions on applications may be taken immediately.
How to collect the documents?
Processed visa applications can be collected between 2 and 3 PM.
How to appeal?
If you do not agree with the consul's decision, you have the right to apply for a re-appeal of the visa application. You must submit it at the Consular office within 14 days from the day you have received the decision.
The fee shall be charged in accordance with the Consular Fees Table – point 3.02.
Applications for re-examination of visa applications are accepted from Monday to Friday between 8:30 and 9:30AM.
Revocation or annulment of Schengen visa
If you have received a decision to revoke or annul your Schengen visa that you do not agree with, you have the right to ask for a reconsideration. However, if you have applied yourself for your Schengen visa to be revoked and the consul has agreed, you are not entitled to appeal.
You should apply for reconsideration within 14 days of receiving the decision to annul or revoke your Schengen visa at the consular post that issued the decision.
Requests for reconsideration are admitted on Tuesdays between 3:00 -3:30 PM
If you apply for reconsideration after your Schengen visa was revoked or annulled, you do not have to pay the consular fee.
Complaint about refusal to issue Schengen visa, decision to revoke or annul Schengen visa and the consul's activities in this respect.
If the consul who examines your reconsideration request, issues a new decision to refuse, annul or revoke your visa, which you do not agree with, you have the right to submit a complaint to the Provincial Administrative Court in Warsaw. The complaint should be forwarded through the consul who made the decision, within 30 days of receiving the decision taken as a result of the re-examination .
You do not pay a consular fee for submitting a complaint to the consul, but you have to pay fees for proceedings before administrative courts. Therefore, you have to note that the court will ask you to pay the court fee.
