In connection with Russia’s aggression against Ukraine, a website has been set up at pomagamukrainie.gov.pl to coordinate the aid. It contains a sign-up form for everyone interested in helping Ukraine.

Consequently, the e-mail address pomochumanitarnaUA@msz.gov.pl is no longer active. All the declarations submitted to this address so far will be forwarded to the respective institutions, whose representatives will reach out to senders depending on the identified needs.

Information on the processing of personal data by the Ministry of Foreign Affairs of the Republic of Poland

This information ensures compliance with the obligation laid down in Article 13 and Article 14 of the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC, hereinafter referred to as the “GDPR” (OJ EU L 119 of 4.05.2016, p. 1 and OJ EU L 127 of 23.05.2018, p. 2).

  1. Within the meaning of Art. 4(7) of the GDPR, the controller of your personal data is the Minister of Foreign Affairs with registered seat in Poland, Warsaw, Al. J. Ch. Szucha 23, while the duties of controller are performed by Director of the Department of Development Cooperation.
  2. The Data Protection Officer (DPO) has been appointed at the Ministry of Foreign Affairs headquarters and in its diplomatic missions abroad.

  1. Personal data are processed pursuant to Article 6(1)(d) of the GDPR (processing is necessary in order to protect the vital interests of the data subject or of another natural person), Article 9(2)(c) of the GDPR (processing is necessary to protect the vital interests of the data subject or of another natural person where the data subject is physically or legally incapable of giving consent), and Article 9(2)(g) of the GDPR (processing is necessary for reasons of substantial public interest, on the basis of Union or Member State law), in order to assist refugees and victims of hostilities in Ukraine.
  2. The scope of the data to be processed includes all personal data, including special categories of data sent to the mailbox pomochumanitarnaUA@msz.gov.pl
  3. Personal data referred to item 4 were transferred personally or through persons who are senders of correspondence to the aforementioned e-mailbox.
  4. Your personal data will be processed within the period of time necessary to achieve the objectives specified in item 3, and then retained for archiving purposes, pursuant to the provisions of the Act of 14 July 1983 on the National Archive Resources and Archives (Journal of Laws of 2020, item 164) and the regulations in force at the Ministry of Foreign Affairs issued on its basis.
  5. The authorised employees of the MFA will have access to the data.
  6. The data will be transferred to the Ministry of the Interior and Administration and may be transferred to the Chancellery of the Prime Minister.
  7. In justified cases, personal data might be transferred to a third country or an international organisation.
  8. The data subject has the right to control the processing of personal data, as specified in Articles 15-19 of the GDPR, in particular the right to access and rectify their personal data, the right to remove them or restrict their processing, if applicable.
  9. Personal data will not be processed by automated means in a manner that could affect the process of making decisions capable of producing legal effects or otherwise create a significant impact. The data will not be subject to profiling.
