Consular outreach in Cape Town

The Consular Section of the Embassy of the Republic of Poland in Pretoria would like to inform you about the consular outreach in Cape Town, which will take place on 27-28 of March, 2026. The final confirmation of the above mentioned dates and the address of the place will be announced no later than on 6 of March, 2026.

The consular outreach

ORGANIZATIONAL INFORMATION

During this outreach, only passport applications will be accepted. For visa, citizenship, civil status transcription, and other matters, please contact the Consular Section in Pretoria directly.

Please also note that the consul does not transport passports for issuance to applicants. Passport applications will be accepted during the following hours:

- Friday, 27 March 9:30 – 18:00
- Saturday, 28 March 9:30 – 18:00

The address of the place where the consular outreach will take place will be provided in the final confirmation.

REGISTRATION FOR AN APPOINTMENT WITH THE CONSUL

Registration for an appointment is mandatory. Unfortunately, applicants who have not registered will not be received.

To schedule an appointment, please send an email to the Consular Section of the Polish Embassy in Pretoria: konsulat.pretoria@msz.gov.pl

ONLY between Monday, 9 March and Thursday 19 March, 2026. Registrations will be accepted on a first-come, first-served basis.

Please,

  • enter "Cape Town outreach - registration" in the subject line, and
  • include the following in the body of the message:
  1. first name,
  2. surname,
  3. date of birth,
  4. the PESEL number of each person for whom the passport application is being submitted.

After completing registration, i.e. after 19 March 2026, you will receive an email with the date and time of your appointment with the consul. The individuals who cannot be accommodated will receive a reply informing them that the list is full and their appointment could not be scheduled.

PREPARING TO SUBMIT A PASSPORT APPLICATION

To submit a passport application, one needs to bring their:
- PESEL number
- previous Polish passport (unless they are applying for a first passport)
- another valid ID, e.g., a Polish ID card, South African passport, or other foreign passport or ID card
- 1 colour photo (no older than 6 months, against a light background, with the face occupying 70-80% of the photo)
- Polish marriage certificate (if they are changing their surname on your passport)
- child's Polish birth certificate (applying for a passport for a child). Both parents must be present.
- a cash fee of R2,722 (for those over 70 years of age - free of charge, children under 12 years of age – R875, 50% discount - only with proof of ongoing studies or a Polish pension entitlement).
