No questions related to visa applications, legalisation of documents and other regular consular matters will be answered on this line.

Please ensure that EACH CASE is registered INDIVIDUALLY.
The following visa-related services do not require an appointment:
Collections of visas & documents, as well as deliveries of missing documents for visa applications, may be done:
- Mondays: 13:00-14:00
- Tuesdays - Fridays: 12:00-13:00
Visa appeals may be submitted:
- Mondays: 13:00-14:00
- Tuesdays - Thursdays: 12:00-13:00
The Embassy of the Republic of Poland strongly warns against making use of unscrupulous agents’ services when applying for visas to Poland. The Embassy and the Consulate does NOT collaborate with any visa agents.
Complaints and applications
The person designated in the office accepts complaints and applications for the office's operation on every working Friday between 10.00-11.00
Complaints about the service of clients of the office and applications regarding the functioning of the consular office may be submitted:
- in writing to the address 14 Amos str, Colbyn 0083, Pretoria,
- in electronic form to the e-mail address: konsulat.pretoria@msz.gov.pl with the note: COMPLAINTS AND APPLICATIONS
- in person at the specified time orally for the record
Anonymous complaints and applications, which do not contain personal and contact details of the applicant, are left unrecognized.
Consular outreach
Consular outreach in Cape Town
The Consular Section of the Embassy of the Republic of Poland in Pretoria would like to inform you about the consular outreach in Cape Town, which will take place on 6th and 7th of November 2026, at the Lagoon Beach Hotel & Spa, Lighthouse boardroom (1 Lagoon Gate Drive, Lagoon Beach, Cape Town, 7441).
ORGANIZATIONAL INFORMATION
During this outreach, only passport applications will be accepted. For visa, citizenship, civil status transcription, and other matters, please contact the Consular Section in Pretoria directly.
Please also note that the consul cannot bring passports awaiting collection.
Passport applications will be accepted during the following hours:
- Friday, 6th November from 9:30 through 18:00
- Saturday, 7th November from 9:30 through 16:00
REGISTRATION FOR AN APPOINTMENT WITH CONSUL
Registration for an appointment is mandatory. Unfortunately, applicants who have not registered will not be received.
To schedule an appointment, please send an email to the Consular Section of the Polish Embassy in Pretoria: konsulat.pretoria@msz.gov.pl ONLY between Monday, 26th October and Monday 2nd November, 2026. Registrations will be accepted on a first-come, first-served basis.
Please, kindly type "Cape Town outreach - registration" in the subject line, and
include the following in the body of the message:
- first name,
- surname,
- date of birth,
- the PESEL number of each person for whom the passport application is being submitted.
After completing registration, i.e. after 2nd November 2026, you will receive an email with the date and time of your appointment with the consul. The individuals who cannot be accommodated this November will receive a reply informing them that the list is full and their appointment could not be scheduled.
SUBMITTING A PASSPORT APPLICATION
To submit a passport application, one needs to bring their:
- PESEL number
- previous Polish passport (unless applying for a first passport)
- another valid ID, e.g., a Polish ID card, South African passport, or other foreign passport or ID card
- 1 colour photo (no older than 6 months, against a light background, with the face occupying 75-80% of the photo)
- Polish marriage certificate (if a surname needs to be updated in the new passport)
- child's Polish birth certificate (applying for a passport for a child). Both parents must be present.
- a cash fee of:
R2,722 adults (applicants over 70 years of age - free of charge),
children under 12 years of age – R875 children under 12 years of age,
R1,361 minors from 13 to 18 years old,
50% discount - only with proof of ongoing studies or Polish pension entitlement).

9-10 October 2026 (information updated on 28th Aug. 2026). Please, monitor Polska w RPA - Polska w RPA - Portal Gov.pl towards the end of September for information regarding the outreach in Port Elizabeth. The upcoming visit will be for Polish passports only.
Harare, Zimbabwe; Windhoek, Namibia; Lusaka, Zambia
Consular visits in Harare, Windhoek and Lusaka have not been scheduled in 2026, because of insufficient number of applicants.
